Privacy policy

CrewBase is operated by Pure Wave Media LLC ("we"). We provide crew management software to contracting businesses. Your employer (the contractor) controls the company account you belong to. Questions: support@crewbasepro.app or (970) 389-9894.

Account details (name, email), your company role and pay rate, time entries and shift notes, job assignments, time-off requests, pay stubs your employer uploads, receipts, job photos and work order documents you upload.

Location: your GPS position, about every 3 minutes, only while you are clocked in. It is saved for the crew map when your company's plan includes it. In the phone app this continues in the background (even with the app closed) until you clock out, sign out or delete your account. It stops completely when you clock out. We explain this before your phone asks for permission.

Marketing visits: when someone visits our website, we record how they arrived (for example the ad campaign tags, referring site and Google or Meta click IDs in the link) and save it with the company that signs up, so we can measure which marketing works. This stays in our own database. Advertising pixels from Google or Meta are not currently active; if we turn them on we will update this policy and ask for consent where required. We never send locations, job addresses, receipts, customer records or wages to advertising platforms.

Push notifications: if you turn them on, we store a device token so we can send you job and schedule updates. You can turn them off at any time.

To run your company's scheduling, time tracking, payroll, job costing and crew map. We don't sell your data or use it for advertising.

Owners and managers in your company can see your time, receipts and live location while you're clocked in. Other companies can never see your data. We use trusted providers for hosting and database, payments (Paddle, which handles card details; we never see full card numbers), notifications (Google Firebase), email delivery, and document reading (work orders, change orders and receipts you upload are sent to an AI model to pull out details like scope, materials, vendor and total).

Data is kept while your company's account is active. Owners can export all data from Settings. You can delete your account any time in the app under Settings → Delete account. Deletion happens immediately: it removes your login, device tokens and location history. Time, receipts and notes you created stay with your company as business records until the owner closes the company, which immediately deletes all company data and files. Backup copies are overwritten automatically within 7 days. See account deletion.

How long we keep data: crew location points are automatically deleted after 90 days. Job, time, receipt and payroll records are kept until the company deletes them or closes its account. Billing and payment records are kept for 7 years as required for tax and accounting. Support requests are kept until resolved and cleared, and no longer than 2 years.

You can turn off location or notifications in your phone's settings at any time. Location permission is required to clock in, because your employer uses it to verify time on site. Without it you can still view your schedule, pay periods and settings. Without notifications, everything works; you just won't get alerts. Owners receive trial and billing emails about their company account and can unsubscribe using the link in any email.
